    Our dynamic software company is looking for a part-time Office Coordinator who can help us maintain a productive work environment to assist our employees and customers.  The role is a ‘jack of all trades’ position that will be highly variable day-to-day basis; no two days will be the same.  The ideal candidate will be a creative problem solver seen as the ‘go to person’ to resolve miscellaneous administrative issues that arise.   We seek someone with a high customer service orientation supporting both internal as well as external customers;  someone who is an outwardly friendly and positive person who can build relationships with local as well as remote employees.

     

    The position is responsible for the oversight and the coordination of day to day office tasks within Connecture for operations in Milwaukee, Los Angeles, Columbia, MD and Raleigh-Durham.  Responsibilities shall include overall administration duties, executive support, travel and expense policy execution, and human resources/accounting tasks as necessary.

    Responsibilities

    The essential responsibilities of the Office Coordinator are:

     

    1.  Office coordination (across locations):

    • Prepares content of facilities-related informational notices to ensure consistent communication across entire organization regarding company and facilities updates
    • Ensures facility policies and procedures are current and administered consistently across all locations
    • Reviews and updates building procedures/plans
    • Oversees office related vendors and equipment for all locations (vending, shredders, office machines, etc.)
    • Local office duties to include, but not limited to
      • Processes and distributes daily incoming mail
      • Orders office supplies when needed
      • Responds to all requests regarding facilities
      • Sets up all new employees with seating location and new hire swag
      • Manages seating locations and maintains conference room scheduling
      • Manages and coordinates all quarterly meetings for New Hire Training, BA Boot Camps and Management Meetings

     2.  Administrative Services

    • Prepares and maintains appointment calendars including but not limited to: coordinating travel, arranging meetings and appointments, setting up lunches and calls for members of the executive team.
    • Provides project support using Microsoft Word, Excel, and PowerPoint
    • Greats guests as first-contact, in professional and friendly manner
    • Drafts correspondence, agendas, and other documents
    • Provides Administrative assistance to others, as schedule allows

    3.  Travel Management

    • Manage corporate travel program. Interpret and apply travel and expense policies/procedures, and administer corporate travel portal.
    • Book travel and pre-authorize hotel for various employees, based on need

    Qualifications

    • At least 1-3 years of relevant work experience
    • Proficiency with various Microsoft computer applications such as Word, Excel PowerPoint, and Outlook
    • Strong ability to support the executive team in a professional and reliable manner
    • Ability to maintain confidentiality as appropriate, and project a professional image
    • Clear thinker, functions with an even disposition and composure
    • Ability to handle multiple and diverse tasks, often simultaneously and effectively manage workload in consideration of the respective time demands placed on others
    • Able to Interact professionally and effectively across all offices, relating well to management, staff, and outside visitors.
    • Committed to quality work with attention to detail
    • Willing to perform challenging as well as routine tasks
    • Self-motivated, innovative, high integrity, and adaptable
    • PCs and various software applications
